Software Management and Licensing

Policy: Computer Software Management and Licensing

Purpose: To ensure that all computer software used by faculty and staff within the Northeast Regional Data Center is appropriately licensed and to clarify responsibility for management of this software.

  1. Desktop Services will provide a standard software package for all managed computers. This package currently includes McAfee Virus Scan, Adobe Acrobat Reader 5.0, Netscape, Novell Client, Hummingbird Host Explorer, and Putty. Other software such as Office 2003, PageMaker, and Exodus (a Jabber client) can also be included. It will be the responsibility of Desktop Services to periodically review and expand the standard software package to reflect the evolving needs of the managed machines.

  2. Desktop Services will be responsible for loading all the standard software onto the managed computers. Desktop Services will also ensure that we have appropriate licenses for all standard software provided to the staff of the Northeast Regional Data Center.

  3. Non-managed computers may load additional software required for completion of their job duties as long as they have obtained an appropriate license for that software. It is important to read and understanding licensing agreements. They can vary on expiration dates, whether multiple users can legally access the program, and whether information can be loaded on multiple machines.

  4. Non-managed computers who add software beyond the standard packages provided by Desktop Services must sign the Software Inventory Worksheet document indicating that all software added to their computer has an appropriate license. It is the responsibility of the individual using the "nonstandard" software to ensure that software is appropriately licensed.

  5. Desktop Services will be responsible for servicing standard software provided by NERDC. It is the responsibility of the individual using nonstandard software to service that software on unmanaged computers.

  6. Users are reminded that the hardware and software are the property of the University. Desktop Services will ensure that they are complaint with US Copyright law and the UF Software Copyright Policy. If the software license has expired, Desktop Services will assist the individual in leanring how to obtain a new license.
