Incoming Offsite Tapes

  1. From Opers email, read and print the incoming tapes email from TSM with today's date. (Message subject: TSM DR).

  2. Sunday-Friday call Iron Mountain before 3:00 PM to request the OSG tapes that are on the incoming email for today, first checking the OSG carousel's incoming side for any tapes on the list. Do not request tapes that are physically at CNS, even if they are on the list. Note the reference number that IM gives you and any comments you feel are pertinent to the call.

    Example: My name is xxx and I'm calling from CNS. I would like to request OSG tapes yyy,yyy,yyy to be delivered when the courier makes his run to CNS. If they ask, the tapes are located in the OSG cases in Iron Mountain's vault.

    Aftern calling in the tape request, drag the OSG incoming email message from Opers inbox folder to the OSG mail folder. The OSG tapes will be dlivered to CNS by Iron Mountain Monday-Saturday and on holidays between 8:00 and 12:00. However, there may be times when no tapes will be coming in. When this occurs, Opers will receive an incoming TSM DR email but no tapes will be listed in the email. No call will be required.

  3. File the incoming email behind the OSG email incoming tag, and fill in the pertinent information in the OSG incoming log sheet.

  4. When Iron Mountain Arrives

    Receive the tapes from Iron Mountain, making sure IM delivered the correct incoming tapes. If you do not receive the correct tapes, let the courier know what tapes we did not receive and give him the reference number located on incoming email hardcopy in the logbook. Before you sign the receipt from Iron Mountain, write down any missing tapes not deliverd to us on the receipt.

  5. Check off the incoming tapes on the hardcopy of the email. Note any missing tapes.

  6. Place the tapes in the OSG carousel (incoming side) located in the tape library.

  7. Log on the OSG server and follow the directions for changing the location of incoming tapes to ONSITERETRIEVE.

  8. Fill out the rest of the incoming log sheet.

  9. After changing the location of the incoming tapes to ONSITERETRIEVE, place the tapes in the rack behind the ATL (3494) in the section labeled EMPTY.
